FleetCollect Adds Automatic Text Reminders to Keep Driver Qualification Files Audit-Ready, Reducing Compliance Risk for Carriers

FleetCollect, a compliance platform for trucking fleets, announced the addition of automatic SMS reminders to its system, aimed at helping carriers keep Driver Qualification Files (DQFs) audit-ready. The new feature addresses a common pain point in the industry: forgotten document renewals that can lead to failed Department of Transportation (DOT) audits.

Every motor carrier must maintain a DQF for each driver, comprising 18 documents as per FMCSA regulation 49 CFR §391.51. These include pre-employment records, annual reviews, and ongoing testing categories. According to FleetCollect, DQFs are the first files DOT auditors examine and the most likely to have deficiencies, often due to lapsed medical cards, overdue Motor Vehicle Record (MVR) reviews, or expired CDLs that go unnoticed until an audit is underway.

The new automatic text reminders target this issue by notifying drivers directly as their documents approach expiration. Texts are sent at 30, 14, 7, and 1 day before expiration, and again if the document lapses, with a secure link for drivers to upload renewals from their phones. The feature is included in all plans without additional cost, operates on carrier-attested driver consent, and allows drivers to opt out by replying 'STOP.'

'The medical card nobody remembered is the thing that fails your audit,' said Herman, Founder of FleetCollect, who held a CDL for over a decade and ran his own authority before building the platform. 'The driver has the document and a phone. The software should just ask them for it at the right moment — and read the date so nobody has to. That shouldn't be a premium feature; it should just happen.'

FleetCollect's platform tracks all 18 §391.51 items on a single dashboard, integrates with Checkr to order MVRs, background checks, and pre-employment drug tests, and uses built-in OCR to read uploaded documents. Drivers can upload their own records through a secure portal, and the system stores everything encrypted with multi-year retention. Carriers can export a complete, audit-ready DQF as a one-click PDF.

The company is designed for smaller fleets often overlooked by enterprise platforms, from single-truck owner-operators to mid-size operations in sectors like auto transport and farm trucking. It works alongside existing ELD systems such as Samsara and Motive, focusing on compliance paperwork rather than hardware. Sarah Chen, Fleet Manager at Mountain Transport, noted, 'We passed our FMCSA audit with zero deficiencies thanks to FleetCollect. The auditor was impressed with how organized our DQFs were.'

FleetCollect offers a 7-day free trial, with automatic SMS reminders included as standard. More information is available at fleetcollect.net.
