FleetCollect, a trucking-compliance software platform serving owner-operators and small fleets nationwide, has unveiled an IFTA audit-readiness resource designed to demystify state fuel-tax audits and simplify compliance. The announcement comes as many truckers face the daunting prospect of reconstructing a year's worth of travel records if randomly selected for an audit.

The International Fuel Tax Agreement (IFTA) requires that each member jurisdiction audit approximately 3% of its licensed accounts annually, often selecting carriers at random. This means that even compliant operators can find themselves under scrutiny. With records retention required for four years, drivers relying on paper logs and shoeboxes of receipts may struggle to produce the necessary documentation on demand. The key challenge isn't proving the miles were driven, but proving where they were driven.

FleetCollect's solution is an iPhone app that automatically logs state-by-state mileage and fuel purchases in the background, using GPS breadcrumbs and high-resolution state-line detection. This creates a defensible, timestamped record for each trip, including dates, coordinates, route, total distance, distance by jurisdiction, and vehicle unit number—meeting the core elements auditors request for GPS-based records.

Drivers can also log fuel stops in seconds, capturing date, station, gallons, price, and the state where the fuel was purchased. Receipts can be photographed and attached, ensuring that the seller's address and fuel type are documented. The app then allows users to export records in formats auditors accept: CSV, XLSX, and XLS. The multi-sheet XLSX workbook includes jurisdiction totals, a trip log with state crossings, a per-vehicle breakdown, and raw GPS points.
